Why we left the old system

“We are Future Stars Academy. We had already paid for another school management system. It held students and some fees, but the office still kept a spreadsheet for part payments and for ‘what is still due this month.’ When the two disagreed, we trusted the sheet.”

“The old product was not empty. That made the change harder. Staff said: if we move, we will type everything again. I said we would only move if Idara365 took our existing data and if the fee cycle we already run still made sense on day one.”

The shift — data first, then the window

“We told Idara365 we were coming from another system. They helped migrate students, classes and the fee picture we could export. We did not run two products in parallel for months. We checked a sample of children — including ones with unpaid months and a part payment — then we switched the window.”

“Onboarding was not a new training course on top of the old one. We sat with the same work: generate months, take cash, see the day book. If a report from the old software was missing, we said so. They said new features are welcome. That mattered more than a longer brochure.”

After we switched

“The clerk no longer exports a list at closing time to ‘finish’ the day. A receipt is on the student and on today’s cash. If a family still owes more than one month, those months stay visible. That is the work we used to patch in Excel after the old system.”

“Teachers mark attendance without opening the fee ledger. I look at on-roll and collection without waiting for someone to merge two files. We left the other school management system because the office was still doing the real work outside it. We stayed on Idara365 because that work is now inside it.”

If you are already on another product

“Do not assume you must start from a blank school. Ask how students and unpaid fees will be moved. Bring a child who has a messy file — admission still open, an old month partial, a current month unpaid. If that child looks right after migration, the rest of the office will follow.”
